Background
Mindanao Institute of Journalism (MIJ) is a non-stock, non-profit organization founded by, and composed of, independent, professional journalists who believe in people empowerment through media. MIJ has been active in Mindanao, including the provinces now comprising BARMM, for more than 20 years. MindaNews, the news service arm of MIJ, was founded in 2001.
MIJ, with part-funding support of the European Union, is a consortium partner of International Media Support implementing the project, “Media Impact Philippines: Safeguarding and Strengthening Local and National Media in the Public Interest (2024-2026)”, to ensure audiences in the Philippines have access to relevant and reliable information that informs them about their rights and enhances their possibilities to participate actively in democratic processes with a particular attention to the BARMM and the election in 2025, as its overall programme objective.
Duties and Responsibilities:
The Project Administrative Officer provides general administrative and project support. This post will assist in project implementation such as those that require administrative, financial and logistical support to ensure that the project team is assisted. He/She has the necessary knowledge to implement activities, provide logistical support for learning events including project trainings, meetings, and workshops, assist with event communications, travel logistics, local vendor coordination, organize online calls and team meetings and take minutes of meetings and perform financial tasks related to administration.
- Logistics Support for Project Activities
- In coordination with the Project Traning Officer, will assist with:
- Providing necessary logistics for implementation of project activities, such as event communications, travel logistics, and local vendor identification and negotiation for procurement of goods and services pertaining to accommodation, transportation, venue and equipment.
- Arranging meetings, trainings, workshops and other events needed for project implementation.
- Administrative
- In-charge of day-to-day office administrative duties for the project and staff and maintenance of administrative records and files.
- In coordination with the Project Team Lead, will provide support in:
- Planning meetings, conference calls and team meetings
- Taking notes/minutes of meetings, as needed
- Facilitate the procurement of approved items.
- Ensure proper safekeeping and maintenance of records and procured supplies and equipment.
- Other duties as assigned by the supervisor.
- Financial
- Serve as the Petty Cash Custodian for the project.
- Assist the Project Finance Officer and Project Training Officer in the disbursement of payments for project activities.
- Co-ensure with the Project Training Officer that requests for payment and financial documentations are complete, compiled, tracked, and copies are provided to appropriate project staff for appropriate approvals.
Working Conditions
- Occasional travel to project site(s) and other related locations.
Qualifications
- Bachelor’s degree in business administration or in courses related to the responsibilities of the post.
- At least 2 years of experience in project support preferrably in the NGO/CSO communities.
- Proficient in Microsoft applications, online meeting platforms and web research.
- Strong written and verbal communication skills in English and Filipino. Ability to speak the local language of the duty station is an advantage.
- Results-oriented, team player and has excellent interpersonal skills. Has initiative and can work with basic supervision.
